This page sums up what happens to the data when a MyFitnessClient account is deleted, whether it is a client's or a professional's. The full legal text is on the public page Delete your account and your data, which opens without signing in and without the app.
How an account is deleted
- Client account: in the app, in Settings, in the Account group, using Delete account. A client who only uses the website writes to [email protected] from the account email, with the subject “Delete account”. The steps are in Delete your client account.
- Professional account: on the website, in Settings > Profile, using Close account, in the last section. If the account has no clients with paid days, it closes right away. If it has clients with paid days, it stays in the process of closing until the last paid day, at most 3 months after the request, and the data is only handled as described here when the account closes.
- When the account closes, it stops working immediately and the session ends on all devices. There is no way to recover the account or the deleted data.
What is deleted
When the account is deleted, MyFitnessClient deletes this data, or replaces it with meaningless values, within 30 days at most.
| Data | What happens |
|---|---|
| Profile | The name, photo, date of birth, gender, height, weight, phone, tax ID (NIF) and clinical history in the profile are deleted. |
| Email and password | They are deleted from the account. |
| Files | The files stored in the account are deleted, along with their copies in storage. The photos and files a client sent to a professional stay with that professional. |
| Sessions and notifications | All sessions end, on all devices, and the push notification subscriptions are deleted. |
| Google and Apple | The Google or Apple sign-in link is removed. In the iPhone app, when you confirm the deletion with Apple, MyFitnessClient also asks Apple to revoke that link. |
| Google Calendar | The connection is turned off: MyFitnessClient no longer has access, deletes the calendar it had created in your Google Calendar and deletes any copy it had imported from your calendar. |
| Personal calendar | The events you added to your own calendar are deleted, along with their reminders. |
| Usage records | The records of usage sessions are deleted and activity events are no longer associated with you. |
| Public profile | In a professional account, the public profile is deleted, along with the contacts received through it. The username stays reserved and the profile address stops opening. |
| A client's foods, meals and exercises | In a client account, the foods, saved meals and exercises the client created for themselves are deleted. |
When a professional closes the account
What the professional created is deleted and what each client with an account logged stays with the client. Clients with active coaching receive an email saying what stays in their account.
| Data | What happens |
|---|---|
| Files | They are deleted when the account closes, including the photos and files clients sent to the professional, except those a course still shows (see Courses). |
| Programs, workouts and meal plans | They are deleted 30 days after the account closes, as are the assessments the professional made. The calendar, the supplement plans and the messages the professional wrote are deleted when the account closes. |
| Branding and invites | The brand name, logo and colors are deleted, and invite links stop working. |
| Clients without their own account and the Test Student | They are deleted, along with their records. |
| What each client with an account logged | It stays in the client's account: completed workouts, food, supplement and habit logs, the check-ins and assessments they did, the anamnesis they filled in, their questionnaire answers and the messages they wrote. |
| Payments and charges | They are kept, as accounting records. |
| Courses | They follow their own rules, described on the public page Delete your account and your data. |
What is kept, and why
Some data remains after deletion: with the professional who coached the client, because the law requires it, for technical or evidence reasons, or until someone asks for it to be deleted.
| Data | How long and why |
|---|---|
| A client's coaching records: assessments, anamnesis, training and food logs, check-ins, messages and the photos and files sent to the professional | They stay in the professional's account, without the client's name, email and contact details, until the professional deletes them. They are part of the professional's records. |
| Notice to the professional | Each professional with whom the client had ongoing or scheduled coaching receives a notice on the platform with the client's name and, depending on their settings, also by email and push notification. On the platform, the notice is deleted once it has been read and 90 days have passed since it was sent. The email stays in the professional's mailbox. |
| Payments owed to a professional | The client's name and email stay linked to those payments for up to 2 years, visible only to that professional and to the members of their team with access to payments, so they can collect them. They are deleted earlier if the debt is paid or cancelled. Deleting the account does not erase the debt. |
| Invoicing documents | 10 years, as required by tax law. |
| Audit logs, with copies of the changed data | 180 days, or 365 days for account and payment data, for security and evidence. |
| History of sign-ins and administrative access | 365 days, for security. |
| Error reports | Up to 90 days, to fix faults. |
| Backups | Data already deleted may remain in them, as a rule for 30 days, until the backups expire. |
| The account row and the deletion record | The account row stays, with the data replaced by meaningless values, and a deletion record keeps the name and email the account had. They serve to maintain the integrity of financial records and of relationships that have already ended, and to prove that the request was carried out. |
| Support requests and records made without a link to a professional | They stay until you ask MyFitnessClient to delete them. |
| Acceptance of the Terms | The record of what you accepted and of the declarations you made stays for 5 years after deletion, to prove what was accepted. |
What you can ask for
- Ask the professional who coached you to delete the coaching record. You can also ask MyFitnessClient to forward the request to them, by email to [email protected].
- For any other question about your data, write to the same address.
