Team seats: the member limit on each plan

For professionalsWebBasic plan or higherUpdated on

In MyFitnessClient, the owner's plan sets how many colleagues a team can have. See what takes a seat, where to check the limit and what changes with the plan.

Each colleague who joins your team takes a seat. The number of seats is the team member limit of the owner's plan. You, the owner, don't take a seat, and colleagues don't need a paid plan: in a team, the plan that counts is always the plan of the person who created it. Each plan has its own limit, and the number can change, so check it on the screens in the following table.

Where you see the limit

WhereWhat it shows
Team, Seats field (only the owner sees it)How many seats are taken, by active colleagues and by email invitations not yet accepted, and your plan's limit, with a bar. The bar turns amber when the active colleagues go over the limit: email invitations not yet accepted fill the bar, but do not put the team over the limit.
Team, if you haven't created the team yet and your plan has seatsA sentence with the number of members your plan allows.
Team, if you don't have a team yet and your plan has no seatsThe team presentation: each plan that includes a team, with how many professionals it allows, and a button that opens the payment for the cheapest one.
Settings > Subscription > Change PlanOn the plan cards, the team line: “No team” or how many team members the plan allows. On screens wider than a phone, the comparison table also has the Team members row.
Pricing page of the website, without signing inOn the plan cards, the team line: “No team” or how many team members the plan allows.

A card without the team line has the same limit as the plan it names in “Everything in”. The Pricing page is at myfitnessclient.com/en/pricing; to compare the rest of the plans, see Plans and prices.

When a plan's limit changes, the Pricing page can take about an hour to show it and the team presentation up to 10 minutes. The Seats field reads the plan every time you open the Team page: it is the number that counts. Selecting it opens the invitation window when there is a free seat and the team is active, or Settings > Subscription in the other cases.

What takes a seat

SituationTakes a seat
Active colleague in the teamYes
You, the team ownerNo
Email invitation not yet accepted, within its 7-day deadlineYes, in the Seats field and when you send another email invitation, until it is accepted, cancelled or expires. It doesn't hold the seat for that person.
Email invitation that expiredNo
Invite link not yet usedNo. It only takes a seat when someone uses it and joins the team.
Colleague you removed or who left the teamNo. The seat becomes free right away.

On the Team page, the number next to Members counts you and the active colleagues; the Seats field counts the active colleagues and the email invitations not yet accepted; unused invite links don't count. The plan texts say “team members”: these are the colleagues you invite, in addition to you.

When the seats run out

  • With every seat taken, by active colleagues or by email invitations not yet accepted, the Invite button disappears and the Seats field takes you to Settings > Subscription.
  • To free up a seat taken by an email invitation, cancel the invitation: on the invitation's dashed card, open ⋮ (or right-click the card), choose Cancel invitation and confirm with the red Cancel invitation button in the window. An invitation that expires also frees up the seat. For the other invitation errors, see The team invitation does not arrive or shows an error.
  • When someone accepts an invitation, only active colleagues count. If every seat is already taken, the person sees “Team full” and “This team has reached its plan's member limit.”, and that invitation stops being valid. This happens, for example, when an invite link takes the last seat before the person who had an email invitation. Free up a seat and send a new invitation.

When the plan changes

  • You move to a plan with more seats: the new seats become free as soon as the plan changes. See Upgrade your plan and pay for your subscription.
  • You move to a plan with fewer seats than active colleagues: nobody is removed. The Team page shows an amber notice with how many colleagues are over the limit, you get a notification, and you can't invite colleagues or have new ones join until there is a free seat: remove colleagues or move to a plan with more seats.
  • You move to a plan with no team: the team becomes inactive, the data is kept and the colleagues lose access until you return to a plan with a team.

In the last two cases, see what to do when the team becomes inactive or goes over the limit.

Frequently asked questions

Do team colleagues take client slots?

No. Team seats and the client limit are different limits of the plan. The clients that colleagues create, invite or accept take client slots on the owner's plan: see Client limit and occupied slots on your plan.

Does the colleague need a paid plan?

No. A professional account with a verified email is enough. In your team, your plan is the one that counts, whatever plan the colleague has.

What if I need more seats than the plans offer?

The Pricing page has an “On request” card, for gyms and teams, with limits adjusted to each case. On that card, select Book a meeting to arrange a meeting with MyFitnessClient.
